How to Schedule Florida Mobile Notary Signings
For Title Companies and Lenders
Coastal Closings, Corp. has coordinated Florida mobile notary and loan signing appointments statewide since 1996. This guide explains what our office needs from you, how assignments move from order to completion, and where to go when timing is tight.
If you already work with us, the steps below match the workflow described on our Florida mobile notary services page. New partners can start with request services or call 954-748-7979.
Before You Submit an Order
Gather the signer’s full name, phone number, signing address, preferred date and time window, and the type of transaction (purchase, refinance, HELOC, reverse mortgage, general notarization, and similar). Note whether a certified signing agent is required for your lender package and if a bilingual notary is needed.
Confirm documents will be available before the appointment. For eSign deliveries, include instructions your team uses so the assigned agent arrives prepared. If the signing location is unusual (hospital, assisted living facility, split signing), mention that in the order so we can plan staff accordingly.
Five Steps to Schedule a Signing
1) Request your company’s customized order form if you do not already have one on file. We design the form around the fields your team uses most often.
2) Complete the form with signer, property, and contact details, then submit it by email or fax to our Sunrise office.
3) We review the order, confirm availability, and assign a mobile notary or signing agent in the correct Florida county.
4) You receive confirmation with the agent name and scheduled appointment time. We contact the signer when your instructions require it.
5) After the signing, we notify you that documents are complete and ready for return according to your delivery preferences.

How Much Notice Do You Need?
Twenty-four hour notice is typical for standard signings. Same-day, evening, weekend, and holiday appointments are often available when our roster has coverage in that county. Call the office early in the day if your file must close before funding deadlines.
What If the Signer Reschedules or Cancels?
Notify us as soon as your office learns of a change. We will update the assigned agent and help secure a new time that works for the borrower or seller. Providing the reason for the change (travel delay, illness, document revision) helps us keep your file on track.
Ready to Place Your Next Order?
Use request services for structured submissions, or contact us when you need to discuss an unusual file before sending the form. Coastal Closings, Corp. serves all 67 Florida counties with $500,000 errors and omissions insurance and trained agents who understand lender-specific packages.
